In the role of Engineering Admin Assistant you support the project execution capacity within our Northern Continent engineering team.

This role entails a combination of Import and export administrator, planner capability, and SAP support, requiring flexibility to move within those different requirements. This opportunity will suit a talented achiever looking to showcase their skills within a high performing team.

Import and export administrator (50%)

As back-up of the current job holder, based in Gent- Belgium, you will
Ensure compliance by:
*Adherence to import and export regulations

*Preparing and reviewing import and export documentation
*Coordinating shipments
*Collaborating with freight forwarders and logistics providers

*Liaising with customs authorities
*Accurately classifying imported and exported goods according to customs tariff codes

*Keeping comprehensive records of all import and export transactions

*Resolving any issues related to delays, damages or lost shipments.

Planner for engineering resources (30%)

You will be the primary user of Orchestra, our resource management software, to ensure timely, effective and efficient allocation of resources to our exciting projects in NC. To do that you will be working closely with Project and Discipline managers and engineers.

Typical activities:
* Driving allocations of engineers to projects

* Ensuring correct tasks, dates, hours and resources are requested for all projects in a timely manner
* Set up multi-discipline projects
* Highlight resource gaps and overloads

* Feedback project allocations to the project manager
* Close projects once complete

Engineering support (20%)

You will provide support to engineers for the development, execution and control of assigned proposals and projects.
Tasks include:
*Requesting quotations to vendors based on technical specifications
*Creating requisitions in SAP, based on those quotations, for technical scopes of supply
*Execution of Goods receipts in SAP upon confirmation of supply from engineers
*Resolve issues with invoices, in collaboration with accounting and purchasing department
*Back-up of Projects technical assistant, who is responsible for setting up projects in SAP and maintaining SAP numbers; financial closing out of projects and asset management; and project filing systems (Open Text)

Your profile
We are looking for candidates with a positive and energetic attitude towards work and an excellent attention to detail. You’ll have good, solid IT skills and experience using project software and experience in a Project office or a project related role is a benefit and you are an enthusiastic self-starter with excellent communication, interpersonal and teamwork skills.

Besides this, you will bring:
*Perseverance through obstacles, tenacious in nature
*Ability to adjust to the unexpected and adapt prior knowledge to unique situations
*Ability to work within a team framework with other internal disciplines (e.g. accounting, purchasing) and with
*Excellent English language skills in both writing and speaking. Dutch capability is a benefit.
