As an Executive Assistant, you are an important link within the team and ensure that governance, organizational, and communication processes run smoothly.
- Executive and Board Support
- Proactively manage and coordinate executive calendars.
- Prepare, schedule, and follow up on appointments, meetings, and strategic sessions.
- Identify priorities, deadlines, and governance sensitivities.
- Act as the first point of contact for internal and external stakeholders of the executive team.
- Governance, Decision-Making, and Reporting
- Prepare and coordinate executive and management meetings.
- Organize and support meetings with the Supervisory Board and shareholders.
- Prepare agendas and collect, structure, and distribute meeting documents in both Dutch and English.
- Take minutes and monitor decisions, action points, and governance agreements.
- Follow up on actions and communication towards the executive team, Supervisory Board, and shareholders.
- Administration, Documentation, and Confidentiality
- Handle correspondence in Dutch and English.
- Manage and structure digital files and confidential documentation.
- Support the preparation of reports, presentations, and policy documents.
- Ensure accurate and timely information sharing with stakeholders.
- Events, Travel, and International Relations
- Organize events, meetings, and representative activities.
- Coordinate visits from international shareholders, Supervisory Board members, and business relations.
- Arrange business travel for the executive team, including flights, accommodation, and travel documentation.
- Coordinate with internal departments and external parties such as venues, suppliers, and hospitality partners.
* Ensure a professional appearance in all external interactions.
- Process Support and Professionalization
- Identify opportunities for improvement within executive and board support processes.
- Contribute to efficient and professional ways of working.
- Support organization-wide projects and strategic initiatives.
Education and Experience
- Completed mbo+/higher vocational (HBO) degree, preferably in a secretarial, administrative, or management support-related field.
- At least 3 to 5 years of relevant work experience as an Executive Assistant or Executive Secretary.
- Experience in a governance environment or supporting executive teams, Supervisory Boards, and shareholders is considered a plus.
Knowledge and Skills
- Excellent command of the Dutch language.
- Very good command of the English language, both written and spoken.
- Experience preparing and supporting formal board-level meetings.
- Proficient in MS Office and digital collaboration tools.
- Strong planning, organizational, and prioritization skills.

- A gross monthly salary between €3,400 and €4,200 (based on full-time employment and depending on experience).
